1. Decide what you want to achieve
Before you begin organising a conference, it’s important to determine two key things:
- What do you want to achieve?
- What method do you wish to use to achieve these goals?
2. Communicate your requirements
To successfully plan your event, we need to know your purpose and goals. This will help ensure we can provide the most appropriate facilities and services. Make sure you let us know if there are any special needs for attendees – such as wheelchair access, or dietary requirements.
3. Plan your agenda in advance
Determine the most appropriate topics that will address the conference purpose. Select activities and presenters that can help achieve your goals. The final agenda will no doubt go through many changes prior to the conference being held.
4. Visit in advance
To achieve your outcomes, always inspect our facilities prior to booking and ensure they meet your needs. Prepare a checklist of requirements, keeping in mind location, travel requirements, capacity, facilities such as audio visual equipment, breakout areas, food, accommodation, budget, conference support and recreational facilities.
5. Conference room
Our event planner can provide you with a floor plan to help you familiarise yourself with the layout of the space you will be using, and determine how it will function during the event.
6. Write briefs for presenters
Provide each presenter with a clear brief of the expected outcomes and the timeframe they have to work within. The brief should also detail the available facilities for their presentation.
7. Be aware of deadlines
Ensure your list of requirements - such as table arrangements, menu selections and accommodation - have clearly defined deadlines, and that you meet these deadlines. If your requirements are not advised by the deadlines, you may incur unanticipated costs.
8. Debrief and review
Take time out at the end of the conference to reflect whether the conference reached its objective/outcomes. List the strengths and weaknesses of the conference in a team meeting and use the results to ensure the next conference is as good, if not better, than the last.
